Script for Phone Calls to SULI past applicants/non-alumni (assuming someone answers the phone)

Hello, I am trying to reach [full name] with regard to an online survey. Is this [first name]?

If the person that answered is not [full name], read the number in the spreadsheet to the individual and ask if that is the number you reached, and if so, ask if [first name] can be reached at this number; if not, apologize for calling. Make note in spreadsheet that number is no longer for the person we are trying to reach. If you dialed incorrectly, try again. If the person who answers speaks only Spanish, route the call to a Spanish-speaking member of the SULI LFS team if available.

If you reach [full name] continue:

My name is [your name], and I work at Oak Ridge Associated Universities.

I am calling as a follow-up to attempts to email you over the last several weeks. The questionnaire we are inviting you to complete includes questions about your educational and professional experiences since you were an undergraduate. We are seeking your participation in this study because you applied for an internship in the Department of Energy’s Science Undergraduate Laboratory Internship program, or SULI, in [month/year].

If they have not yet responded but the email was delivered: You should have received one or more email invitations from my colleague Tony Garcia. These emails were sent to <full name’s e-mail address > from an email address ending in orau.org, with a subject line that read, “SULI Long-term Follow-up Study.” You should have received the emails on [date], [date], and [date].

If they have not yet been contacted: We have been unable to locate a current email address for you.

If answer YES to Q1, go to Q2. If NO, go to Q3

2. Would it be Ok to speak with you further about this invitation?

If NO, then ask: “Would you like your name removed from further contact regarding the SULI Long-term Follow-up Study?”

If YES, thank the individual and terminate the call. Add a “DO NOT CONTACT” note to the spreadsheet and today’s date.

If NO, then ask: “Would you like to be contacted about this survey at a more convenient time?”

If YES, note the date and time the individual would like to be contacted, thank them, and terminate the call.

If NO, thank them and terminate the call. Add a “DO NOT CONTACT” note for this individual and today’s date.

3. Would you like to update your email address to participate in our research survey about past SULI participants and applicants?

If YES, take down email address and resend survey to updated email. Update email on spreadsheet. Continue to TEXT BELOW.

If NO, then ask: “Would you like your name removed from further contact regarding the SULI Long-term Follow-up Study?”

If YES, thank the individual and terminate the call. Add a note to the tracking spreadsheet for this individual indicating “DO NOT CONTACT” and the date.

If NO, then ask: “Would you like to be contacted about this survey at a more convenient time?”

If YES, note the date and time the individual would like to be contacted, thank them and terminate the call.

If NO, thank them and terminate the call. Add a “DO NOT CONTACT” note for this individual and the date.

This questionnaire is part of an impact evaluation of the program and includes questions on your educational and professional experiences since you were an undergraduate. The emails provide a more detailed description of the impact evaluation and your role in the study.

If you are willing to complete the questionnaire, you may use the link provided in any of these emails to complete the questionnaire online. If you would like me to send you a new email with the information you need to complete the questionnaire, I can do that as well.
